Email notifications
Who gets emailed when, and what you can send from Questionful.
Notifications on a new response
A form can email up to ten named recipients when a response comes in; each message carries a direct link to the response. Recipient addresses are validated when you set them, so the feature cannot be used to send mail to arbitrary addresses.
A copy for the respondent
Turn on the “email me a copy” option and the person filling in the form can have their own answers sent to the address they gave. It can be used once per response.
Sending a form to a contact list
Contact lists live in Questionful, and a form can be emailed to one from inside the app. You pick one or more lists, optionally filter by tag so only contacts carrying it are included, and review the exact recipient list before confirming.
Each contact gets their own link, so the response that comes back is linked to that contact’s record rather than arriving anonymously.
Sends are paced: messages queue and go out in batches rather than all at once. You can send yourself a preview first, and contacts who unsubscribe are skipped on later sends. The opt-out survives the contact being deleted and re-imported.
Importing a list by CSV asks you to affirm that the people on it agreed to hear from you. The affirmation is stamped on the list.
Sending limits
Every account sends from the same domain, so invitation volume is capped, a single blast to a list nobody consented to would cost every other customer their deliverability. The caps are per calendar day, and they count what is still queued as well as what has already gone out:

Three further rules apply on every plan:
- New accounts start lower. Until your address is confirmed and the account is three days old, the ceiling is 10 a day whatever your plan allows.
- One invitation per person per week. The same address is not mailed twice within seven days, across all of your forms, and a given contact is never invited to the same form twice.
- Dead addresses drop out. A permanent bounce or a spam complaint opts that address out for your account, exactly as their own unsubscribe link would.
A send that does not fit inside your remaining allowance is refused whole, with the reason shown in the send dialog, rather than delivered in part. Forms in a team workspace draw on the team owner’s allowance.
Response notifications, respondent copies and account emails are not affected by any of this, the caps apply to invitations only.
Account and billing emails
Questionful also emails you about the account itself:
- Confirming your email address at sign-up, and again whenever you change it: the old address is notified of the request too.
- Password resets.
- Trial started, trial ending soon, trial converted, trial ended.
- Response allowance at 80% and again when it runs out: at most once per threshold per month, so a form never stops accepting answers without warning.
- Nothing for invoices automatically. An invoice is issued for every charge and waits in your billing history, where an Email this invoice action sends it to yourself when you want a copy.
